SUMMARY:

Under general supervision, the Lead Program Assistant II monitor workflow distribution and task completion in conjunction with the supervisor and lead specialist. This position will act as a direct Liaison to internal Leads within the Department, serve as contact person for unavailable case management staff, and act as unit trainer/shadow for new hires and current staff in the implementation of new procedures.

 

RESPONSIBILITIES:

 

  1. Monitor workflow distribution and task completion in conjunction with supervisor and lead specialist.
  2. Act as a direct Liaison to internal Leads within the Department, serve as contact person for unavailable case management staff, and serve as CalWORKs Customer Service liaison for challenging cases.
  3. Print and check eligibility of CalWORKs parents on GEARS according to Eligibility Guidelines, ensure quality service to clients by providing internal/external referrals, and ensure that phone calls are promptly returned within 24 hours.
  4. Organize and maintain filing system of records and program materials and maintain sufficient inventory of office supplies and equipment for individual unit.
  5. Produce, photocopy and/or assemble training materials for department.
  6. Conduct provider and parent document review and requests for parent and licensed and licensed-exempt providers to ensure accuracy and completion.
  7. Participate as a team member in the evaluation and improvement of CalWORKs Child Care Services to parents, providers, and the general public.
  8. Act as unit trainer/shadow for new hires and current staff in the implementation of new procedures.
  1. Perform other duties as assigned.

 

KNOWLEDGE:

Must have knowledge of County, State and Federal provider (parent) contract requirements for Alternative Payment and Child Care Subsidy Programs. Demonstrated proficiency with GEARS, and other databases, including Kindertrak. Requires demonstrated proficiency with MS Office.

EDUCATION:

High School diploma required; Associate of Arts degree in the Social Sciences field preferred; years of related work experience can be substituted for the AA degree.

 

EXPERIENCE:

Must have minimum 1 year experience working with parents receiving subsidized child care or social support services, with a minimum one year of experience in a administrative or clerical support position.
