What We're Looking For:

We are seeking a Program Assistant II who will provide administrative, clerical and logistical support for the day-to-day operation for the Resource & Referral department.  This includes assisting in the operational oversight, planning, reporting functions, event logistics, as well as developing written promotional and informational materials for department projects. The ideal candidate will have the following responsibilities:

  1. Provide administrative support including scheduling meetings; completing check requests, purchase orders, maintenance requests; responding to telephone inquires; drafting correspondence and ensuring correct grammar, spelling and business format of all written communications; completing expense and other reports; and performing general clerical tasks.
  2. Assist with the planning and provide logistical support for project meetings, activities and community events within the service community, and other meetings, conferences, and events, as needed, including notifying attendees of event details, maintaining distribution lists, coordinating and ordering refreshments, and ensuring required venue/equipment is available.
  3. Design and oversee filing systems and ensure filing systems are maintained and up to date, including maintaining records of work activities and the tracking and monitoring of project participants and activities.
  4. Record, transcribe and disseminate meeting minutes in appropriate business format, as required.
  5. Participate in team and department staff meetings and professional development activities.
  6. Required to attend community meetings as scheduled
  7. Assist in the development, implementation and evaluation of department projects
  8. Perform other duties as assigned 


  • High school diploma and/or GED Equivalency required. A.A. degree preferred; related office management or administrative assistant work experience may be substituted for college level education. 
  • Must have a minimum of two (2) years experience working in administrative or clerical support positions, and coordinating activities that interface with the general public
  • Must have knowledge of community resources within the agency service areas.
  • Knowledge of social service delivery, community resources, requirements and procedures.
  • Must have excellent English written and verbal communication skills, customer service, problem solving and interpersonal skills.
  • Must be flexible and able to manage multiple tasks and meet set deadlines.
  • Ability to work internally and externally in a collaborative, team environment with a positive attitude;
  • Must demonstrate sensitivity to the needs and reactions of people from diverse backgrounds and with different needs;
  • Must have high proficiency in Microsoft Office (e.g., Publisher, Word, Excel and Outlook) and knowledge of social media activities required. 
  • Requires the exercise of some independent judgment and discretion in analyzing facts and circumstances and in the determination of actions to be taken within the limits of standard practice.  Involves application of broad knowledge of contract funding terms and CSI policies and procedures.
  • Must possess a valid California driver's license, have use of a motor vehicle and provide evidence of automobile liability insurance. This position is required to commute approximately 25% of the time to local community meetings.
